Digital Registration and Check-In

New appointment texts and emails from Beacon

Beacon’s appointment communications have recently changed.Appointment-related text messages may now come from your office’s phone number or 75442.

Appointment-related emails will come from noreply@checkin.beaconhealthsystem.org.

Please add these to your contacts to ensure you don’t miss any updates about your visit.

Quick Start Guide

Complete your registration in 3 easy steps:

  1. Watch for our text or email – You’ll receive a secure link 5-10 days before your appointment (exact timing depends on appointment type).
  2. Complete your forms early – Finish at least 2 hours before your appointment so our staff can review your information.
  3. Check in when you arrive – You’ll get a text about 15 minutes before your appointment with directions to either check in on your phone or visit the front desk.
Important Timing Information

Please complete your digital registration at least 2 hours before your appointment time.

Example | Appointment: 2:00 PM → Forms completed by: 12:00 PM

Why this matters: Our staff needs time to review your information before you arrive. If you complete your forms less than 2 hours before your appointment, our office may not receive them in time. You may need to complete paper forms when you arrive.

We encourage you to complete the forms as soon as you receive the link—don’t wait until the day of your visit! Most patients complete registration in under 10 minutes.

Before Your Appointment

When you schedule your appointment, please provide your mobile phone number and email. In the days leading up to your appointment, we’ll send you text messages and emails with a secure link to complete your registration.

Please note: We do not currently make phone calls for appointment reminders. All appointment reminders and registration links are sent via text message and email only.

Recognizing official Beacon messages: Appointment-related text messages will come from either your provider’s office phone number or 75442. These are official Beacon Health System communications—not spam. We suggest saving these numbers to your contacts.

Digital Registration Process

Digital registration only takes a few minutes and walks you through each step:

  • Review and update your contact information, primary care provider, and emergency contact
  • Take photos of your insurance cards — our system securely reads and updates the details
  • Answer a few quick questions about your health history
  • Confirm and submit your completed forms
Tips for Success

Complete your registration as soon as you receive the link – Don’t wait until the day of your appointment

Have these items ready:

  • Your insurance cards
  • Your emergency contact’s name and phone number

Arrive about 15 minutes early to your scheduled appointment

Keep your phone handy in the waiting room to receive check-in instructions

When You Arrive for Your Appointment

You’ll need to arrive about 15 minutes before your appointment time. Once you’re in our waiting room, you’ll receive a text message. This message will either:

  • Provide a link to check in from your phone, allowing you to skip the front desk, OR
  • Direct you to check in at the front desk if our staff needs to verify any information

Why might I need to visit the front desk? Some appointments require additional verification, or there may be questions about your insurance or registration information. This helps us ensure everything is correct before you see your provider.

If you did NOT complete digital registration, please check in at the front desk when you arrive, and our staff will help you complete your registration. Paper forms are always available.
